This page explains what Sorted Suite does with personal information: on this website, and when your organisation uses the Sorted Suite service and its apps, SortedPost and SortedScan. It's written in plain English on purpose. If anything isn't clear, email hello@sortedsuite.com.
In short
- This website doesn't use cookies, analytics or tracking.
- We handle your documents only to do the job you've asked us to do: read them, name them and send them where you've said.
- Your documents are kept apart from every other customer's, and deleted once they've been delivered, on the timetable you choose.
- Where AI is used, the text is sent to Anthropic's Claude service to get an answer back. It is not used to train their models.
- Nothing goes anywhere you haven't set up yourself.
This website
- No cookies, no analytics, no tracking. This site sets no cookies and loads no advertising or analytics scripts.
- Server logs. Our web server records the address of your connection, the page asked for, the time and the browser type, so we can keep the site secure and fix problems. Logs are kept for a short while and then deleted.
- Fonts. The typeface is loaded from Google Fonts, so your browser sends a request, including your connection address, to Google when the page loads. See Google's note on fonts.
- Email. If you email us, we keep the conversation for as long as we need it to deal with your enquiry and anything that follows from it.
Using the service
When your organisation uses Sorted Suite, we handle your scanned documents on your behalf and on your instructions. In data protection terms, your organisation is the controller (it decides what the documents are for) and Sorted Suite is a processor (we do what the service agreement says, and nothing else).
- What we handle. The scanned pages and the text we read off them; the names, summaries, details picked out we work out for each document; the names, email addresses and roles of the people you add to the service; your scanner and delivery settings; and a record of who approved what.
- Why. To split, read, name and deliver your documents, to let your people check and correct them, and to keep the service secure. Not for anything else.
- Reading the pages. The text on each page is read on our own servers. Where you've drawn boxes on a form (SortedScan), those boxes are read on our servers too, with no AI involved. The sample page you upload to draw the boxes on is kept with that workflow so you can adjust it later, and is deleted when you replace it or delete the workflow.
- AI. Where an app uses AI to name, summarise or decide who should get a document, the text and, if needed, a picture of the page are sent to Anthropic's Claude service, which returns an answer. Under Anthropic's business terms, your content is not used to train their models.
- How scans reach us. Your copier sends scans to us over an encrypted connection, or by email to an address that belongs to that copier. Scan-to-email messages pass through Cloudflare's email service straight to our servers. Your browser connects over HTTPS.
- Where documents go. Only to the places your organisation has set up: SharePoint, OneDrive, Teams, a folder on your own computer or server, email, or your own document system. Emails we send, including documents sent by email and notifications, go out through our email provider, Brevo.
- A folder in your office. If you install the Sorted Connector on an office computer to save files to a local or network folder, it only ever fetches files meant for it, over an encrypted connection, and saves them where you've told it to.
- Microsoft 365. If an administrator connects Microsoft 365, we use that connection to sign your people in, to pull in your staff list if you ask us to, and to save files into SharePoint, OneDrive or Teams. We ask for only the permissions those jobs need.
- Keeping things apart. Your documents are stored for your organisation only. No other customer can see them.
- How long we keep them. Sorted Suite passes documents on; it isn't an archive. A document is kept for the period agreed with your organisation and can be deleted automatically once it has been delivered. You can also delete documents yourself in the app at any time.
- Notification emails. People may get an email telling them that something is waiting for them or has been sent to them. Each person can turn these off in the app.
Your rights
If you're in the UK or EU, you can ask to see the personal information we hold about you, have it corrected or deleted, and object to or limit how it's used. You can also complain to the Information Commissioner's Office or your local authority. If the information is in documents we handled for an organisation that uses Sorted Suite, please contact that organisation first; we'll help them respond.
Changes
If what we do changes, we'll update this page and the date at the top. Changes that matter to customers are also sent out under the service agreement.
