Terms of service
Last updated 14 October 2026
These are the terms on which organisations use Sorted Suite: the hosted service, its apps SortedPost and SortedScan, the Sorted Connector, and this website. They're written in plain English on purpose. By connecting a scanner, signing in or otherwise using the service, your organisation agrees to them. If anything isn't clear, email hello@sortedsuite.com.
If you bought Sorted Suite through a reseller, your agreement with the reseller covers price, billing and support arrangements. These terms cover how the service itself may be used. Where an order or signed agreement says something different from this page, the order or agreement wins.
In short
- Your documents stay yours. We handle them only to do the job you've set up, and we delete them once they've been delivered, on the timetable you choose.
- You're responsible for who you let in, where you send documents, and checking what the AI has worked out before relying on it.
- We aim to keep the service running and will tell you about planned maintenance, but no online service can promise it will never be interrupted.
- Either side can end the arrangement on notice. You can export your documents first; after that we delete them.
- Our responsibility to you is limited to what you've paid for the service in the previous twelve months, apart from things the law doesn't let us limit.
Your account
- Who the agreement is with. The service is for organisations, not consumers. The person who sets up the account confirms they're allowed to agree to these terms for their organisation.
- Administrators and users. Your administrators decide who can sign in, what they can see and do, and which scanners and destinations are connected. You're responsible for what the people you let in do with the service.
- Keeping credentials safe. Sign-in details, scanner credentials, API keys and connector keys are yours to look after. Tell us straight away if you think one has been exposed, and we'll help you replace it.
- Accurate details. Keep your organisation's contact details current so we can reach you about the service.
What you can use it for
- Your own business documents. You may only scan and process documents you're entitled to handle. You must have whatever rights or permissions are needed to process them, including under data protection law.
- Lawful use only. Don't use the service for anything unlawful, to send unsolicited messages, or to process content you've no right to.
- Don't interfere with the service. Don't try to get around access controls, overload the service, probe it for weaknesses without our written agreement, or copy, decompile or reverse-engineer the software.
- No reselling without agreement. You may use the service for your own organisation. Reselling it, or offering it to others as a service, needs a written agreement with us.
Your documents and the AI
- Ownership. Everything you scan, and everything the service produces from it, belongs to you. We claim no rights over it.
- How we handle it. We act on your instructions as your processor, as set out in our privacy notice. Your documents are kept apart from other customers' and go only to the destinations your organisation has set up.
- AI output needs a human. Where the service uses AI to name, summarise, index or route a document, it does a good job most of the time but it can be wrong. The service gives you the chance to review before a document is sent. It's your responsibility to decide how much review your documents need and to check anything that matters before relying on it.
- Not an archive. Sorted Suite passes documents on; it doesn't keep them long-term. Keep your own copies in the destination you've chosen.
Connected services
- Your choices. You decide which outside services the service talks to: Microsoft 365 (SharePoint, OneDrive, Teams, email and sign-in), email, webhooks to your own systems, and folders on your own computers through the Sorted Connector. You're responsible for the permissions you grant and the destinations you pick.
- Permissions. When an administrator connects Microsoft 365, we ask only for the permissions needed for the features you turn on. Until Sorted Suite is approved for your whole organisation by one of your Microsoft administrators, Microsoft may require an administrator to approve each connection. You can withdraw access at any time from Microsoft Entra, which stops delivery to those destinations straight away.
- Other people's services. Microsoft, your email provider and your own systems are run by someone else under their own terms. We're not responsible for them being unavailable or changing in ways that affect delivery.
- The Sorted Connector. If you install the connector on a computer in your office, you're responsible for that computer, the folder it writes to and who can reach it.
Availability and support
- Keeping it running. We aim to keep the service available around the clock and to tell you in advance about planned maintenance. Like any online service, it may occasionally be interrupted by faults, maintenance or things outside our control, and we don't promise it will be uninterrupted or error-free.
- Support. Support is by email at hello@sortedsuite.com, or through your reseller if you bought through one. We'll respond as quickly as we reasonably can.
- Changes to the service. We improve the service regularly and may add, change or retire features. If we take away something you depend on, we'll give reasonable notice.
- Trials. A trial account may have limits on features and the number of pages it can process, and we may end a trial at any time.
Fees
- What you pay. Fees are as set out in your order, or in your agreement with your reseller. They're based on the pages processed each month unless your order says otherwise.
- Late or non-payment. If fees aren't paid when due, we may suspend the service after giving you notice, and resume it once the account is settled.
- Tax. Fees exclude VAT and any other applicable taxes unless stated.
Ending the service
- By you. You can stop using the service at any time. If you have a minimum term in your order or reseller agreement, that still applies.
- By us. We can end or suspend the service if these terms are seriously broken, if fees go unpaid after notice, or if we're required to by law. Otherwise we'll give you at least ninety days' notice if we decide to stop providing the service.
- What happens to your documents. Before the account closes you can export anything still in the service. After it closes we delete your documents and settings within thirty days, apart from backups, which expire on their normal schedule, and records we're required to keep.
Our responsibility to you
- Reasonable care. We'll provide the service with reasonable skill and care and in line with our privacy notice.
- No promise of fit for every purpose. Apart from what's written here, we make no promises about the service, including that it will suit your particular needs or that every document will be read, named or routed correctly.
- Losses we're not responsible for. We're not responsible for loss of profit, business, revenue or goodwill, or for indirect or consequential loss, or for loss caused by a destination or service you've connected, by your own equipment or network, or by a document you didn't review.
- The cap. Our total responsibility to you for anything arising under these terms in any twelve-month period is limited to the fees paid for the service in that period. If you bought through a reseller, that means the amount the reseller paid us for your use.
- What can't be limited. Nothing in these terms limits responsibility for death or personal injury caused by negligence, for fraud, or for anything else the law doesn't allow us to limit.
Confidentiality and intellectual property
- Each other's information. Each side will keep the other's confidential information confidential and use it only for the purposes of the service. Your documents are your confidential information.
- The software. Sorted Suite and its apps, including the software, design and documentation, belong to us. You get a right to use them for your organisation while you're a customer. Suggestions you give us about the service may be used freely to improve it.
General
- Law. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
- Things outside our control. Neither side is responsible for failing to do something these terms require because of events beyond its reasonable control, other than paying what's owed.
- Changes to these terms. If we change these terms we'll update this page and the date at the top, and tell customers about changes that matter to them. If you carry on using the service after a change takes effect, the new terms apply.
- The whole agreement. These terms, your order or reseller agreement and the privacy notice are the whole agreement between us about the service.
